WhatsApp AI agent: how it works, what you need and how long it takes

WhatsApp is where customers in Peru and Latin America ask, compare and buy, so more and more companies want to automate it. But there is a big difference between a menu bot and an AI agent that sells. This guide explains how a WhatsApp AI agent works, what you need to implement it and what timeline and cost depend on.

What a WhatsApp AI agent is

It is a system that talks to your customers on WhatsApp using a language model but also takes action: it checks your catalogue and stock, calculates shipping, builds an order, books an appointment or logs the customer in your CRM. It does not follow an option tree; it understands what the customer writes and decides which tool to use to solve it.

What it can do in a sales process

  • Reply instantly to questions about price, availability, payment methods and shipping, at any hour.
  • Recommend products based on what the customer needs, as a sales rep would.
  • Qualify the opportunity with key questions: what they want, budget, urgency, area.
  • Build the order or quote and pass it to your team or system.
  • Hand over to a person for complaints, negotiations or when the customer asks, with the full history.

What you need to implement it

  1. The WhatsApp Business API with a verified number. The WhatsApp Business phone app cannot be automated reliably; the official API can.
  2. Sources of truth: catalogue, prices and stock available from an ERP, an e-commerce store or a database. The agent must look them up, never make them up.
  3. Business rules: what the agent may answer, which discounts it can offer and when it must hand the conversation to a person.
  4. A CRM or log where every customer and opportunity is stored for follow-up.

How long it takes and what cost depends on

A WhatsApp sales agent is usually in production within 4 to 8 weeks. Timeline and cost depend mainly on three factors: the number of integrations (catalogue, CRM, payments, calendar), conversation volume and how much autonomy you want to give the agent. It is best to start with the most frequent questions and add actions in stages.

Common mistakes

  • Launching without testing on real customer conversations.
  • Letting the agent answer prices or stock "from memory".
  • Not defining when a person must step in.
  • Not measuring: without a conversation dashboard you will not know what to improve.
