AI agent vs. chatbot: the differences and which one your company needs

"Chatbot" and "AI agent" are often used as synonyms, but they are not. The difference matters because it defines what you can automate and what results to expect.

The traditional chatbot

It follows a script: menus, buttons and predefined answers. It works for very narrow FAQs, but it gets lost when users write something unexpected and it cannot do anything outside the conversation.

The AI agent

It uses a language model to understand what is asked and, above all, it can use tools: query a database, search documents, call your ERP or CRM API, create an order or a ticket. It plans steps, decides which tool to use and knows when to ask a person for help.

Key differences

  • Understanding: the chatbot recognises options; the agent understands natural, even informal, language.
  • Action: the chatbot replies; the agent carries out tasks in your systems.
  • Context: the agent remembers the conversation and checks up-to-date data for every answer.
  • Maintenance: the chatbot grows with more rules; the agent improves with better data and instructions.

Examples

  • WhatsApp sales: the agent checks stock, recommends, qualifies the customer and builds the order (see the WhatsApp sales agent).

Which one to choose

If you only need to answer five fixed questions, a simple chatbot may be enough. If you want the channel to sell, solve cases or save operational work, you need an agent connected to your data. In that case, data quality matters as much as the model.
